Timeline, templates, and resources for a smooth launch

We recommend talking to your employees about their new benefit leading up to the program’s start date. This roadmap can help you develop the messaging you need at the optimal times to build ongoing engagement. We are pleased to provide access to messaging you can customize with your organization’s plan details.

Pre-launch: 15 days prior to program’s effective date

Two weeks prior to the program start date, we recommend sending a “Coming soon” message to share the good news about your organization’s new benefit.

  • Coming soon email message – it is recommended you use messaging in internal newsletters, intranet promotion, benefits portal, and benefit information packets.

Launching your new mental wellness benefit

We highly recommend at least one member of your leadership team send a message to eligible employees about their new mental health benefit. Not only does this help build awareness, but it also contributes to fighting the stigma of mental illness in the workplace.

We highly encourage adding your own touch and/or personal mental health story as well for added impact.

The first Tuesday after your plan’s effective date Spring Health will send a launch activation email to all employees.  The launch activation email is sent only at time of launch to non-enrolled covered lives.

We also encourage you to promote the program using the resources found below during the launch of the program. Promotion ideas include:

  • Send the flyer as a PDF in benefit announcement and reminder emails
  • Share the flyer on any internal communication platform
  • Post the flyer on bulletin boards or other central hubs
  • Place a copy of the flyer on everyone’s desk, if applicable.

Ongoing engagement

Spring Health’s communication strategy is designed to maximize the right number of messages for each audience type.

  • Activation reminder emails are sent quarterly to those who were eligible at launch but did not enroll.  Activation emails to new hires happen on a weekly basis.
  • Monthly awareness emails are sent by Spring Health to all enrolled members to increase engagement. Examples of monthly topics include:
    • Family wellbeing
    • Suicide awareness and intervention
    • Substance abuse prevention

Track your impact on staff wellbeing with the Spring Health client reports. Spring Health produces two types of reports for planholders:

  • Bi-Weekly or Monthly Reports - summary utilization information within the last two to four weeks, depending on availability of data volume (enrollment, assessments, appointments, appointment type)
  • Quarterly Reports - detailed utilization information within the last 90 days (enrollment, assessments, appointments, appointment type); clinical insights; improvement rates

At time of claim, employees with Guardian’s short-term disability coverage who submit their claims telephonically will be reminded about Spring Health and asked to authorize data sharing for a Spring Health outreach. If authorization is provided, these employees will receive targeted messaging from Spring Health based on their claim diagnosis.  Employees claiming a leave of absence, life insurance, and/or supplemental health coverage, along with disability claimants who submit their claim on paper, will receive a Spring Health flyer from Guardian with their claim packages.*

* For leave/FML and supplemental health, Guardian will mail out a flyer to approved claimants with their claims correspondence. For life insurance, Guardian will mail out a flyer to employee claimants only. Beneficiaries and/or dependents will not be contacted. If an employee declines to authorize the outreach, there is no impact to their Spring Health benefit. They will not receive an outreach letter, but they can still access Spring Health directly.  Their decision regarding data sharing with Spring Health will have no impact on the adjudication of the disability claim.
